The second provision of the Organic Law 5/1992 of 29 October, regulating the automated processing of personal data, provides that, within the year following its entry into force, the Public administrations responsible for files of this nature already in existence must adopt a regulatory provision for them when they lack regulation or adapt the existing one.

On the other hand, the Royal Decree-Law 20/1993, of 22 December, extended by six months the deadline of one year to which reference has been made.

In its virtue, and in accordance with the additional provision of the aforementioned Law and Royal Decree 221/1987, of February 20, I have resolved:

First. -Automated files with personal data of this University, existing at the entry into force of the Organic Law 5/1992, of October 29, which are regulated by this provision, in accordance with the article 18 of the Law cited, are those listed in the Annex to this Resolution.

Second. -Those responsible for the automated reference files will take the necessary measures to ensure that the automated data of a personal character is used for the purposes for which were collected, which are the ones that are concretized in this resolution.

Third. -Those affected by the aforementioned automated files can exercise their right of access, rectification and cancellation of data, where appropriate, to the organ that for each automated file is specified in this Resolution.

Fourth. -Those responsible for the automated files shall expressly warn the transferee of personal data of their obligation to dedicate them exclusively to the purpose for which they are given, in accordance with the Article 11.5 in relation to the 4.2 of the Organic Law 5/1992 of 29 October, regulating the automated processing of personal data.

Fifth. This Resolution shall enter into force on the day following its publication in the Official Journal of the State.

Number 1. Automated file of students

1. Purpose:

Academic-administrative management of the various higher teachings at the University.

2. Usage:

University Teaching.

Other teachings, scholarships and aids.

3. Persons or collective on whom data is intended to be obtained or required to be supplied:

Students who apply for registration.

Students who enroll in Selectivity.

Students who enroll in the different cycles.

Pupils petitioners for grants and other grants.

Students entitled to the title expedition.

4. Data collection procedure:

Standard models and forms completed by the interested party via telematics.

5. Basic structure of the automated file and description of the data contained therein:

Relational database structure.

Data type:

Identifying character.

Of personal carateristics.

Academic and professional.

Economic-financial.

Transactions.

6. Data disposals that are expected:

Banking entities.

Ministry of Education and Science.

Data Recording Companies.

7. Responsible for the file:

University Manager.

8. Body to which the rights of access, rectification and cancellation may be exercised:

1. Purpose:

Administrative management of the teaching staff and P. A. S. of the University.

2. Usage:

Managing the administrative file.

Payroll and Social Security Calculation.

Training courses.

Sanctioning Management.

Administrative procedures.

Permissions and licenses.

3. Persons or collective on whom data is intended to be obtained or required to be supplied:

Teaching staff.

Official and labor administration personnel.

4. Data collection procedure:

Standard statements and forms completed by the interested party in support of paper, magnetic support or telematics.

5. Basic structure of the automated file and description of the data contained therein:

Relational database structure.

Data types:

Identifying character.

Of a personal character.

Of social circumstances.

Academic and professional.

Details of employment and administrative career.

Economic-financial.

Transactions.

6. Data disposals that are expected:

National Social Security Institute.

State Tax Administration Agency.

Ministry of Education and Science.

Central Personnel Registry.

Teaching staff and P. A. S.

Providers.

4. Data collection procedure:

Statements and forms on paper, magnetic support, and telematics.

Conventional automated files and relational databases.

Identifying character.

Commercial information.

Economic-financial.

Transactions.

6. Data disposals that are expected:

State Tax Administration Agency.

Collaborative financial institutions with the University.
